BUYER REGISTRATION

Experience Africa welcomes applications for both Hosted and Non-Hosted buyer programmes for the 2024 show, please read through the details below and select the option most applicable to you.

Buyer Inclusions & Qualifying Criteria

Inclusions:

  • Breakfast, Morning & Afternoon Coffee & Lunch daily
  • Evening networking functions daily
  • Diary of pre-scheduled appointments

Qualifying Criteria

By attending as a buyer you agree to:

  • If attending full show - Attend a minimum of 40 pre scheduled appointments over the duration of the show
  • If attending two days – attend a minimum of 26 pre scheduled appointments.
  • Attend all the networking & social functions detailed in the agenda
  • Complete feedback on Experience Africa and the quality of your meetings within a reasonable time period following the show.

Buyers must:

  • Hold a senior decision making position in the company they represent
  • Be representing a company which has a track record of selling Africa & the Indian Ocean Islands or intends to expand into Africa & the Indian Ocean Islands in 2024 / 2025 with a track record of selling a similar style long haul destination.
  • Please note – Experience Africa may require additional information to support your application and may require industry referrals.

Cancellations & Replacements

  • Whilst not encouraged, Buyers may cancel their attendance to the event with no penalty 28 days before the event. 
  • Cancellations received within 28 days will incur a fee of GBP £50 inclusive of VAT per day of confirmed attendance. 
  • No Shows will incur a fee of GBP £50 inclusive of VAT per day of attendance and may result in the participant and / or company being black listed from future Experience Africa and ATTA® organised / Managed Events
  • In instances where Buyers need to cancel their participation, they may request a senior colleague from their organisation to attend as a replacement. On the condition that the replacement is accepted by the Experience Africa Team, a cancellation / change fee will not apply.

Hosted Buyer Inclusions & Qualifying Criteria

Inclusions:

  • Up to 4 nights accommodation in a hotel close to the venue on a single occupancy basis*
  • Hosted Buyer Accreditation to attend Experience Africa 2024
  • Breakfast, Morning & Afternoon Coffee & Lunch daily
  • Evening networking functions daily
  • Diary of pre-scheduled appointments
    * Please note – priority will be given to hosted buyers travelling from outside London to attend the show 

Qualifying Criteria

By attending as a hosted buyer you agree to:

  • Attend a minimum of 40 pre scheduled appointments over the duration of the show
  • Attend all the networking & social functions detailed in the agenda
  • Complete feedback on Experience Africa and the quality of your meetings within a reasonable time period following the show.

Hosted Buyers must:

  • Hold a senior decision making position in the company they represent
  • Be representing a company which has a track record of selling Africa & the Indian Ocean Islands or intends to expand into Africa & the Indian Ocean Islands in 2024 / 2025 with a track record of selling a similar style long haul destination.
  • Be located in or working with the following key source markets:
    • UK
    • Continental Europe
    • North America
    • Latin America
    • Middle East & Asia
  • Please note – Experience Africa may require additional information to support your application and may require industry referrals

EXPERIENCE AFRICA 2024 – BUYER TERMS & CONDITIONS PLEASE SCROLL TO THE BOTTOM OF THE PAGE FOR FULL TERMS Contracts for participation at Experience Africa are made with Experience Africa Events Ltd (EAE). BUYER AGREEMENT TERMS AND CONDITIONS NOW IT IS HEREBY AGREED AS FOLLOWS: 1. DEFINITIIONS In these Terms & Conditions the following words will have the following meanings unless the context otherwise requires: 1.1. EXPERIENCE AFRICA means one to one appointments held at 155 Bishopsgate between buyers and exhibitors between the dates of 01st July and 03rd July 2024 which is organised by Experience Africa Events Ltd 1.2. EXPERIENCE AFRICA TEAM means the Experience Africa Team of Matrix Studios, 91 Peterborough Road, London SW6 3BU UK 1.3. HOSTED BUYER means the person, accepted by EAE who will attend the event as a buyer of African travel products including accommodation in London for the duration of the event 1.4. BUYER means the person, accepted by EAE who will attend the event as a buyer of African travel product. 1.5. EXHIBITORS mean exhibitors who have contracted with EAE to participate in Experience Africa 1.6. PRE-SCHEDULED APPOINTMENT SYSTEM means the appointment system operated by EAE to coordinate the appointments of the HOSTED BUYERS / BUYERS and EXPERIENCE AFRICA exhibitors during the event. 2. CONDUCT OF HOSTED BUYERS / BUYERS 2.1. HOSTED BUYERS will receive from EAE: 2.1.1. A bespoke agenda with one-to-one pre-scheduled meetings according to the buyer and exhibitor preferences between 01st July and 03rd July 2024 2.1.2. Entry to Experience Africa and full programme of Experience Africa 2.1.3. Entry to all official Experience Africa networking and content led events during the event 2.1.4. Accommodation in a nearby hotel for the duration of the event (max 4 nights) 2.2. As a condition of receiving the above services, HOSTED BUYERS will be required to: 2.2.1. Be able to attend a minimum of 40 pre-scheduled appointments during the event. i.e. selecting all the exhibitors in order of appointment preference within a specified timeframe. 2.2.2. Attend all meetings and networking sessions scheduled by the Experience Africa Team and including by the Experience Africa team in their diaries 2.2.3. Wear attire appropriate for meetings as a condition of entry to and participation in the event 2.2.4. Attend the event at the required time according to your agenda 2.3. Failure by any person to comply with the requirements stated above may result in a review of the person’s Hosted Buyer status and / or exclusion from future Experience Africa Hosted buyer programmes A significant shortfall by the Hosted Buyer on the minimum commitment with respect to attending appointments shall be treated by the Experience Africa Team as a cancellation and cancellation fees may apply (see ‘Cancellations’ section below). Attendance at the above will be monitored during the event by the ATTA® team. 2.4. BUYERS will receive from EAE 2.4.1. A bespoke agenda with one-to-one pre-scheduled meetings according to the buyer and exhibitor preferences between 01st July and 03rd July 2024 on the days agreed to attend 2.4.2. Entry to Experience Africa and full programme of Experience Africa for the days agreed to attend 2.4.3. Entry to all official Experience Africa networking and content led events during the event 2.5. As a condition of receiving the above services BUYERS will be required to: 2.5.1. Be able to attend a minimum of 13 pre-scheduled appointments per day on the days selected to attend the event 2.5.2. Wear attire appropriate for meetings as a condition of entry to and participation in the event. 3. CANCELLATION AND REPLACEMENTS FOR HOSTED BUYERS 3.1. REPLACEMENTS: Invitations to Hosted Buyers are non-transferable. In instances where Hosted Buyers need to cancel their participation, they may request a senior colleague from their organisation attends as a replacement. On the condition that the replacement is accepted by the Experience Africa Team, a cancellation / change fee will not apply. 3.2. CANCELLATION OF ATTENDANCE: Whilst not encouraged, Hosted Buyers may cancel their attendance to the event with no penalty 42 days before the event. Cancellations received within 42 days will incur a fee of GBP £350 inclusive of VAT. All cancellations must be received by the Experience Africa Team in writing and must have been acknowledged by the dates specified above by the Experience Africa Team 3.3. A significant shortfall by Hosted Buyers on their minimum commitments with respect to attending appointments shall be treated by the Experience Africa Team as a cancellation of attendance and the Hosted Buyers will incur a cancellation fee of GBP £350 inclusive of VAT 3.4. NO SHOW: Hosted Buyers who do not inform the Experience Africa Team of their cancellations and do not attend Experience Africa will incur a no-show fee of GBP £350 inclusive of VAT and will be blacklisted for any future ATTA® & Experience Africa Events run / managed events 3.5. Cancellation of attendance fees, no show fees shall be payable by Hosted Buyers within thirty days of the receipt of the cancellation invoice EAE will provide to the hosted buyer with a receipt in respect to cancellation of attendance fees and no show fees. The hosted buyer may request an invoice if required. 3.6. Experience Africa shall be entitled to cancel the place of the Hosted Buyer and withdraw or cancel all benefits if it considers, at its sole discretion, that the products or services provided by the Hosted Buyer or any person attending with the Hosted Buyer mentioned overleaf, do not fit the profile of the event 3.7. Hosted Buyers agree that the above charges are reasonable pre-estimate of the loss suffered by Experience Africa of Hosted Buyers breaching these terms and conditions. 4. CANCELLATION AND REPLACEMENTS FOR BUYERS 4.1. CANCELLATION OF ATTENDANCE: Whilst not encouraged, BUYERS may cancel their attendance to the event with no penalty 28 days before the event. Cancellations received within 28 days will incur a cancellation fee of GBP £50 inclusive of VAT per day of attendance. All cancellations must be received by the Experience Africa Team in writing and must have been acknowledged by the dates specified above by the Experience Africa Team. 4.2. NO SHOW: Buyers who do not inform the Experience Africa team of their cancellations and do not attend Experience Africa will incur a no-show fee of GBP£50 inclusive of VAT per day of attendance and will be blacklisted for any future ATTA® & Experience Africa Events run / managed events 5. EXCLUSION OF LIABILITY 5.1. EAE reserves the right to reschedule the event at another date, whether in consequence of a force majeure event or otherwise 5.2. EAE shall not be liable to the Hosted Buyer in contract, tort or otherwise for any loss of profit, loss of business or revenue, loss of anticipated savings or any indirect or consequential loss or damage, costs or expenses arising out of or in conjunction with the Hosted Buyer attendance at the event 5.3. EAE shall not be liable for the death or personal injury of any Hosted Buyers save where such liability cannot be excluded under English Law. 6. CONDUCT OF ALL ATTENDEES All attendees commit: 6.1. To treating all individuals with whom we come into contact, with respect and as responsible adults 6.2. To conduct yourself in a professional and appropriate manner in all dealings with other attendees, organisers and employees of Experience Africa 6.3. To promote freedom of expression and open communication. To avoid offending, participating in serious disputes and disrupting the ethos of Experience Africa 6.4. To foster a well organised, respectful, and collaborative environment 6.5. To respect all who work within Experience Africa by showing dignity in the workplace. 6.6. To oppose any business dealings which could be construed as bribery and corruption and which may bring ATTA®, Experience Africa Events and Experience Africa into disrepute. 6.7. To not be involved in any illegal drug or substance transactions of any kind 6.8. To be conscious of managing your personal alcohol or substance consumption whilst attending Experience Africa to ensure that you are in full control of your behaviour 6.9. To not be involved in or associated with any person or establishment which may be linked in any way, to the illegal act of Drug and Human Trafficking 6.10. To not be involved in the act of facilitating or supporting the illegal transaction of Money Laundering 7. GENERAL 7.1. Completion of an online or other application form applying to become a Hosted Buyer or Buyer at Experience Africa does not automatically guarantee a place on the hosted buyer programme. Applicants will be notified by the Experience Africa Team if their application is successful. The Experience Africa Team’s decision is final. Only one application form my be completed by each proposed participant and only the first application form will be accepted. Applicants must be over the age of eighteen. 7.2. Successful applicants will only be accepted as Hosted Buyers if they have read and agreed to these terms and conditions and have ticked the relevant boxes on the online application form. 7.3. The Experience Africa Team reserves the right to remove a hosted buyer from the hosted buyer programme at its complete discretion without liability if it is considered by the Experience Africa Team to be in the best interests of Experience Africa 7.4. It is important for any Hosted Buyer and those businesses that they represent, to understand that Experience Africa is solely for the business purpose and targeted for influential people working within the travel industry. 7.5. Any disputes arising under these terms will be governed by English law and are subject to the exclusive jurisdiction of the English Courts. 7.6. By agreeing to these terms and conditions, you are consenting under all relevant data protection legislation to EAE ltd and ATTA® ltd communicating with you by telephone, fax, email and by post and using your personal information for internal processing and for disclosure to third parties such as airlines, hotels and exhibitors in connection with your attendance at Experience Africa.
